Great Meetings

This is a demonstration copy of Great Meetings. All of the features of the product are fully functional. However, this demo can only save two names in a meeting's distribution list, two agenda items, and two action items. The demo version will remove it's preferences and all meetings created with the software when it or the card that contains the software is removed from your Newton.

Great Meetings requires 520 KBytes of free memory on the Newton MessagePad.

Great Meetings

Welcome to Great Meetings! You can use Great Meetings to schedule, plan, run, and follow up on your meetings more easily and efficiently. Great Meetings has three parts: a Day Summary, a Week Summary, and a meeting form. The summaries show meetings for a particular day or week. You use the meeting form to enter and view information about a meeting and to run a meeting.

Day Summary

When you start Great Meetings you are greeted by the Day Summary, which lists your Date Book appointments and meetings for a specific date. The calendar-page button next to a meeting title indicates that the item is a Date Book appointment. The clipboard button next to an item indicates that the item is a Great Meeting. Tap the calendar-page or clipboard button to access functions that help you manage your meeting information. Tap the title of a Date Book item to go to the meeting form for the item. Tap New in the control bar to get a blank meeting form for a new meeting.

Week Summary

The Week Summary lists Great Meetings (and Date Book appointments if you choose), for a specific week. Tap the dot between the arrows at the bottom of the screen to open the Week Summary. Tap on the title of an item to open the meeting form for the item. Tap on the date of the item to go to the Day Summary for the date.

Meeting Form

You use the meeting form to see and change information about a meeting and to run a meeting. The meeting form has six sections:
 - Title, Time, & Date, Location
 - Purpose, Outcome, materials
 - Distribution List
 - Agenda
 - Action items
 - Assistant Notes

Use the Title, Time, & Date, Location section to record basic information about your meeting.

Use the Purpose, Outcome, Materials section to define your meeting's purpose and intended outcome, and to record materials needed.

Use the Distribution List section to enter the names and cost groups of people you want to be informed of the meeting, and to specify how to distribute reports.

You can define and track the agenda for your meeting and record meeting minutes in the Agenda section. When you run your meeting, you can use the meeting and agenda item timers in this section to keep your meeting on track.

You can create, assign, and review new or unresolved actions items in the Action Item section. Action items are included in the reports you distribute. You can also choose to have your action items recorded in your Newton's to do List.

The Assistant Notes section is available if Assistant notes is checked in the Preferences section. Use this section to create a report that informs your administrative assistant of any special needs for the meeting.
